Privacy Policy
Last updated: August 18, 2026
microAI (“we”, “us”) makes small macOS utilities. We keep data collection to the minimum needed to run the Service, and our apps do most of their work locally on your Mac. This policy explains what we collect, why, and the choices you have.
Our privacy approach
- The apps run locally. For example, microSnap uses only macOS Accessibility to move and resize windows — it never reads the contents of your screen.
- microShot captures the screen only when you explicitly take a screenshot or recording. Captures are saved locally on your Mac and are never sent anywhere unless you choose to upload or share them.
- We do not sell your personal data and we do not use advertising trackers.
- Online features (account, sync, sharing, AI) are optional; if you don’t use them, that data isn’t collected.
What we collect and why
- Account information. If you create a cloud account, we store your email address and name as provided by your sign-in method (email magic link, Google, or Apple), to authenticate you and provide online features.
- Purchases and licenses. Payments are processed by Polar; we do not receive or store your full card details. We store which license is linked to your account, its type, and status, to unlock paid features.
- Settings sync. If you enable sync, your app settings (such as preferences, shortcuts, and saved layouts) are stored so they can be shared across your Macs.
- Cloud sharing (some apps). If you choose to upload or share a file (for example, a screenshot or recording), we store that file and basic metadata to provide the share link you requested. Don’t upload content you don’t want stored.
- AI features. When you use AI features, the content you submit is sent to the relevant AI provider (such as Anthropic or Google) to generate a response. We do not store the content of your prompts or the responses. We do store usage metadata — the model used, token counts, cost, timestamp, and a hashed form of your IP address — to bill fairly and to detect abuse or account sharing. We do not retain your raw IP address for this purpose.
- Crash diagnostics. If enabled (you can opt out at any time), the apps may send anonymous, PII-free crash diagnostics collected by Apple’s MetricKit — a stack trace, app and OS version, and a random install identifier. These reports contain no personal data, no window titles, and no file contents, and are not linked to your account.
- Product-improvement data (“Help improve the program”). The apps include an on-by-default toggle, disclosed during onboarding and changeable at any time in Settings, that lets us collect data used to improve the apps. In every app this means small structured events about how features succeed or fail — for example the event name, an error reason, timing, the bundle identifier of the target application, app and OS versions, and a random install identifier — never window titles, file paths, screen images, audio, clipboard contents, or terminal output. In three apps the improvement material is text itself: microFix stores the text before and after a conversion, microVoice stores the recognized transcript and its cleaned-up version (never audio), and microOCR stores the locally and cloud-recognized text for a capture when the cloud engine was used (never the image). Before storing text we mask anything that looks like a password, API key, or access token. Improvement data is associated with your account only if you were signed in when it was sent, is used solely to improve the apps, is not sold or shared, and is deleted after 180 days. Turning the toggle off stops all further collection immediately.
- Website. The website uses a session cookie to keep you signed in, and our hosting provider processes standard request logs to operate and secure the site.
How we use information
We use the above to provide and secure the Service, to process purchases and unlock paid features, to prevent abuse and fraud (including cost abuse of AI features), to provide support, and to improve reliability. We rely on the legal bases of performing our contract with you, our legitimate interests in running and securing the Service, your consent (for optional crash diagnostics and product-improvement data), and compliance with law.
Service providers
We share data with service providers who process it on our behalf:
- Cloudflare — hosting, database, and file storage.
- Polar — payments and licensing.
- Resend — sending sign-in emails.
- Google / Apple — if you choose to sign in with them.
- Anthropic / Google — AI providers, if you use AI features.
These providers may process data outside your country. We rely on their safeguards for such transfers. We do not sell personal data.
Retention
We keep account, license, and sync data while your account is active. Usage metadata and crash diagnostics are kept only as long as needed for billing, abuse prevention, and reliability, then removed or aggregated. Product-improvement data (events and the text samples described above) is deleted after 180 days. When you delete your account, we delete the personal data associated with it, except where we must keep records to comply with law (for example, transaction records).
Your choices and rights
- Turn crash diagnostics on or off at any time in the app’s settings.
- Access, correct, export, or delete your personal data.
- Delete your account, which removes associated personal data as described above.
- Object to or restrict certain processing, subject to applicable law.
To exercise these rights, contact support@microai.jp.
Security
We use industry-standard measures to protect data in transit and at rest, store secrets and access tokens as hashes where practical, and limit access. No method of transmission or storage is completely secure, but we work to protect your information.
Children
The Service is not directed to children under 16, and we do not knowingly collect their personal data.
Changes
We may update this policy from time to time. We will update the date above and, for material changes, provide notice where appropriate.
